How to Write a Purchase Specification for Commercial HDPE Folding Furniture

International buyers often begin a folding-furniture project with a photograph, a model reference and a target quantity. That may be enough to start a discussion, but it is not enough to control production. A commercial purchase specification should convert the buyer's intended use, product requirements, packaging needs and acceptance rules into one document that both parties can review.

The specification does not have to be complicated. It does have to be precise. Its purpose is to reduce assumptions before quotation, sampling, production and inspection. When a requirement is not confirmed, it should be shown as open rather than filled with an estimate.

Why a Product Photo Is Not a Purchase Specification

Two folding tables can look almost identical in a catalogue while differing in open dimensions, tabletop configuration, frame construction, hardware, locking method, net weight, packaging and test evidence. A photograph cannot show every requirement that affects cost, container planning or customer acceptance.

The same problem appears when buyers use a general description such as “6 ft HDPE folding table.” Bestone's BTE-2971FH, for example, is a 6 ft fold-in-half table with a published open size of 180 x 74 x 74 cm. A buyer who needs a one-piece top, a narrower seminar surface or a different height is describing a different configuration. The model and the approved specification must therefore be linked.

A good purchase specification answers three questions:

  1. What exactly is being purchased?
  2. How will conformity be checked?
  3. Which changes require written approval?

Start with the Commercial Use Case

Define users, venue and handling frequency

Begin with the environment in which the furniture will operate. An event-rental table may be opened, moved and stored frequently. A training-room table may need a narrow work surface and repeated room reconfiguration. A project table may require a specific height. A retail program may place more emphasis on carton artwork, labels and consumer-facing instructions.

The use case helps the factory understand which details require attention, but it does not replace measurable requirements. “For commercial use” should be followed by dimensions, construction, packaging and acceptance criteria.

Separate required features from preferences

Mark each requirement as mandatory, preferred or open for supplier recommendation. This prevents a preference from being priced as a fixed obligation and prevents a mandatory feature from being treated as optional.

For example, a buyer may require a three-position adjustable table but remain open to the standard color. Bestone's BTE-2448FH has a published tabletop size of 122 x 60 cm and three height positions at 49, 61 and 74 cm. Those dimensions can be stated as verified model information. A new color, label or carton design remains a project-specific item requiring confirmation.

Build the Product Specification Table

Model, dimensions and configuration

The first section should identify the supplier model, buyer item number and product type. Record open dimensions, folded dimensions when published and relevant operating positions. Use one measurement system as the controlling reference and show conversions only as supporting information.

For fold-in-half products, state that configuration clearly. For adjustable products, list every required position. Do not use “approximately” unless a tolerance has been agreed. If the buyer has a tolerance requirement, the method and measurement points should be defined.

Materials, frame and operating components

Identify the tabletop material, frame finish and the components that affect operation. The Bestone product pages describe blow-molded HDPE tabletops and powder-coated steel frames for the referenced models. If a buyer requires a particular tube dimension, wall thickness, coating, hardware material or locking design, that requirement should be written and confirmed for the exact model.

Avoid converting a general material description into an unsupported composition claim. A project-specific resin, recycled-content, UV or regulatory requirement must be reviewed separately and should not be assumed from the word HDPE alone.

Color, branding and packaging

The specification should show the approved tabletop color, frame color, logo method, labels, carton marks, barcode data, instruction sheet and packaging configuration. OEM and private-label options are subject to the approved specification, quantity and commercial terms.

Packaging should be treated as part of the product. Define the unit pack, carton, internal protection, label position and any buyer-specific tests or approval process. Container-loading quantity should be confirmed only after the packaging dimensions and loading method are approved.

State Load and Test Evidence Correctly

Product-rated load

A published product load is the load value identified on the product page or approved product specification. For BTE-2448FH, the published product load capacity is 220 lb. That is the product-labelled figure buyers should use unless an approved project specification states otherwise.

Internal static-load test

Bestone separately recorded a 200 kg internal static-load test for a BTE-2448FH sample under documented factory conditions. The tested sample remained functional and passed the post-test inspection. This is evidence about that sample, model and recorded method.

The 200 kg test load is not the rated working load. It is not a production-wide guarantee and it is not a third-party certification. A purchase specification should identify it as “Bestone internal static-load test evidence” and link to the record rather than convert the test load into a product rating.

Third-party certification

A third-party product test or certification must identify the laboratory or certification body, model, test method, report number, date and scope. If the buyer requires one, state the applicable market, standard and acceptance document before quotation. Never use a factory audit, an internal load test or a general certificate as a substitute for a model-specific third-party product requirement.

Control Samples, Revisions and Approvals

Each specification should have a revision number and date. Record the person or team authorized to approve changes. If a sample is supplied, the specification should state whether it is a reference sample, approval sample, packaging sample or production sample.

A physical sample is useful, but it should not be the only control. Samples can be lost, damaged or interpreted differently. The written specification should record the dimensions, components, finish, branding and packaging that the sample represents.

When a requirement changes, issue a revised document and identify the change. Do not rely on a message that says “same as discussed.” The supplier should confirm the new revision, price effect, tooling or setup effect and schedule effect before implementation.

Put Inspection and Acceptance Rules in the PO

The purchase order should refer to the approved specification revision. It should also state the inspection stage, responsible party, sampling or buyer-defined inspection method, defect classification, documentation and disposition process.

Factory inspection, buyer QC inspection and independent third-party inspection are different arrangements. If a third-party inspection is required, define the company, timing, scope and cost responsibility. If a product test is required, define whether it applies to an approval sample, production sample or selected shipment sample.

The specification should not invent an acceptance standard. The buyer and supplier must agree the applicable method for the project.

Information to Send Bestone Thailand

For a more useful review, send Bestone the following information with the RFQ:

  • target model or product type;
  • open and folded dimensions;
  • intended commercial application;
  • required product load or customer standard;
  • material and frame requirements;
  • color and branding files;
  • unit-pack and carton requirements;
  • labels, barcodes and instruction-sheet requirements;
  • destination market and expected order quantity;
  • inspection, testing and certification requirements;
  • target schedule and Incoterm.

Bestone can then identify which points match a published model, which require customization and which remain open for technical or commercial confirmation.

Procurement FAQ

Can a buyer use a competitor's photograph as the final specification?

No. A photograph can illustrate the intended style, but the final requirement should identify measurable dimensions, materials, components, packaging and acceptance criteria.

Should the buyer place dimensions in the RFQ or wait for the supplier's drawing?

State the required dimensions in the RFQ. The supplier can then confirm a matching model or prepare a project-specific drawing for approval.

Is the highest internal test load the same as the product-rated load?

No. An internal static-load result applies to the tested sample and recorded method. The product-rated load must be stated separately in the approved product information.

Does a factory audit certify the product specification?

No. A factory audit evaluates its stated factory or management scope. Product conformity requires the applicable specification, inspection and product-test evidence.

When should packaging be approved?

Before production packaging and final container planning. Artwork, labels, dimensions, internal protection and loading method can affect cost, schedule and loading quantity.

What happens if the buyer changes the specification after sample approval?

The change should be documented in a new revision. The supplier should confirm feasibility and any effect on tooling, price, MOQ, packaging or lead time before implementation.

Can Bestone support OEM and private-label projects?

Yes. Options may include color, labels, carton artwork and export packaging, subject to the approved specification, order quantity and commercial confirmation.
